Because you have done such a good job of saving your stats over the years, you know how valuable this data is in having a solid start for your invitation list on your upcoming event. Haven’t saved those stats? No worries, we have! Use the information from your past events to send invitations to people for your upcoming event! But, it’s much more than just sending an email…
The Difference Between Emails and Invitations
Within your Ministry Sync event, you have the option to send emails and send invitations. What’s the difference?
The biggest difference is that invitations can be sent to anyone whereas emails can only be sent to those in your current or past event(s). If you want to invite past registrants to a new event, trust me, using the invite tool will save you a lot of time! You can either send an invitation to a group via a bulk action within Ministry Sync or you can import a list and invite guests from multiple events. Then just hit send!
Invitations are pre-populated with your event information and a clear call to action button for the recipient to register for your event.
Emails can say whatever you want them to say, and communicate different information each time you send them.
Both the Email Registrants tool and the Invitation tools can be found under Email and Invitations within your event.
Pro-Tip! Use Variables to add personalization to a bulk email.
Emails are a wonderful way to communicate with various audiences (such as your Table Hosts, Team Captains, Fundraisers, canceled registrants, and current registrants) throughout the event. You can include Variables which allow for a very personalized feel while connecting with several registrants at once.
Each email you write automatically inherits your event branding keeping the consistent, professional look throughout your event.
Invitations are designed to be very straight-forward with a call to action built within. The goal is very intentional in the invitation: Invite guests.
The below sample is the out-of-the-box invitation which pulls in your event banner and event details. Notice how it clearly states all the information about the event and a very bold RSVP. In addition, these include built-in social sharing options to allow your guests to promote your event even farther!
Both the Email and Invitation features are great ways to share information about your event. We recommend inviting guests using the Send New Invitation tool and then stay in touch with all your registrants throughout the event period via the Send New Email tool.
